This Privacy Policy explains how Amenos Metrics ("Amenos Metrics," "we," "us," "our") collects, uses, discloses, stores, and protects information when you visit amenosmetrics.com (the "Site"), interact with our AI chat widget, submit a contact form, or otherwise engage with us (collectively, the "Services"). Amenos Metrics is registered and operates from India. Because we work with clients and visitors worldwide, this Policy is written to meet the requirements of India's Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Information Technology Act, 2000 and its Reasonable Security Practices Rules, while also incorporating relevant protections consistent with the UK/EU General Data Protection Regulation ("GDPR") and the California Consumer Privacy Act / CPRA ("CCPA") for visitors from those regions. By using the Site, you agree to the collection and use of information in accordance with this Policy. If you do not agree, please do not use the Site or the chat widget.

1. Who We Are (Data Fiduciary / Controller)

2. Information We Collect

2.1 Information You Provide Directly

  • Contact & enquiry forms: name, email address, phone number, company name, and message content.

  • "Book a Free Call" / "Get in touch" requests: the same details above, plus any scheduling information you provide.

  • Chat widget conversations: anything you type into the bottom-right AI chat widget, including your name, contact details, or business details if you choose to share them, plus the full text of your conversation.

  • Any other information you voluntarily submit via email, phone (+44 7342685753 or listed numbers), or in correspondence with us.

2.2 Information Collected Automatically

  • Technical & device data: IP address, browser type/version, operating system, device type, referring URL, and general location inferred from IP (city/country level).

  • Usage data: pages visited, time spent, click patterns, scroll behavior, session duration, and navigation paths, collected via our hosting provider (Framer) and any analytics tools we may enable.

  • Local/client-side storage: the Site stores a small amount of non-personal preference data directly in your browser (localStorage), specifically:

    • Your light/dark theme selection (e.g., mode=Light, theme=Monsoon) so the Site remembers your display preference on return visits.

    • This data stays on your device, is not transmitted to our servers, contains no personal identifiers, and can be cleared at any time by clearing your browser storage/cache.

2.3 Cookies

The Site, hosted on Framer, uses cookies and similar technologies necessary for the website to function (e.g., load balancing, security, remembering your cookie consent choice). We may also use analytics or marketing cookies if enabled (see Section 8). A current cookie list is available on request from support@amenosmetrics.com.

3. The AI Chat Widget — How It Works and What Happens to Your Data

This section specifically covers the chat widget in the bottom-right corner of the Site, because it involves automated processing you should understand clearly:

  1. What you type is transmitted off-site. When you send a message in the chat widget, the message text (and any contact details you include in it) is sent via an API call to a Microsoft Power Automate flow.

  2. AI-generated responses. That flow passes your message to an AI language model (Azure OpenAI Service / ChatGPT-family model), which generates a reply. The reply is sent back through the same Power Automate flow and displayed to you in the chat widget on the Site.

  3. Sub-processors involved: Microsoft Corporation (Power Automate / Power Platform / Azure, and Azure OpenAI Service) processes this data on our behalf under Microsoft's own data processing and enterprise terms. We do not control Microsoft's infrastructure but we select and configure this tool as our data processor.

  4. Cross-border transfer. Because Microsoft's infrastructure may process or store data outside India (e.g., in Microsoft Azure data centers located in other regions), your chat data may be transferred internationally. We take reasonable steps to ensure such transfers are subject to appropriate contractual and security safeguards.

  5. No sensitive personal data, please. Please do not enter passwords, payment/card details, government ID numbers, health information, or other sensitive personal data into the chat widget. The chat widget is intended for general business enquiries only.

  6. AI limitations. Responses are generated automatically by an AI model and may occasionally be inaccurate, incomplete, or out of date. Chat responses do not constitute professional, financial, legal, or contractual advice, and are not a substitute for a signed proposal or agreement with us.

  7. Human review. We may periodically review chat transcripts for quality assurance, service improvement, abuse prevention, and to follow up on enquiries.

  8. Retention. Chat transcripts and associated metadata are retained for [Insert retention period, e.g., 12 months] from the date of the conversation, or longer where needed to resolve a dispute, comply with law, or complete a business enquiry you initiated, after which they are deleted or anonymized.

  9. No automated decision-making with legal effect. The chatbot does not make any automated decision that produces a legal effect or similarly significantly affects you (e.g., it cannot approve/deny a contract or make a hiring decision).

4. How We Use Your Information

We use collected information to:

  • Respond to enquiries submitted via contact forms, phone, email, or the chat widget;

  • Provide, operate, personalize, and improve the Site and our analytics, automation, AI, and design services;

  • Generate and route AI chat responses through our Power Automate/Azure OpenAI integration;

  • Communicate updates, proposals, service information, or (with consent, where required) marketing content;

  • Analyze aggregate Site usage to improve performance and content;

  • Detect, investigate, and prevent fraud, abuse, or security incidents;

  • Comply with legal, regulatory, tax, and accounting obligations; and

  • Enforce our Terms of Service.

Legal bases (where GDPR applies): consent (e.g., chat widget use, marketing), performance of/steps toward a contract (e.g., responding to a service enquiry), and our legitimate interests (e.g., Site security, service improvement), balanced against your rights.

5. How We Share Your Information

We do not sell your personal data. We may share information with:

The tools listed in our "Platforms We Use" section on the Site (e.g., LangChain, TensorFlow, Zapier, n8n, HubSpot, Twilio, Intercom, AWS, PostgreSQL, etc.) represent technologies we use to build and deliver client automation projects. Unless separately disclosed to you in a client engagement, these tools do not process personal data submitted through the public amenosmetrics.com Site itself — only the chat widget (Section 3) and Framer hosting (above) currently touch Site-visitor data.

6. Cookies and Similar Technologies

We use:

  • Strictly necessary cookies — required for the Site (hosted on Framer) to function, load securely, and remember basic preferences.

  • Local storage — your theme/display preference (see Section 2.2), stored only on your device.

  • Analytics/marketing cookies — to understand aggregate traffic and improve the Site.

You can control or delete cookies through your browser settings at any time. Disabling cookies may affect Site functionality (e.g., the theme toggle may reset each visit).

7. Data Retention

We retain personal data only as long as necessary for the purposes described in this Policy:

  • Contact form / enquiry data: until the enquiry is resolved plus [Insert period, e.g., 24 months] for follow-up and record-keeping, unless a longer period is required by law or an ongoing client relationship.

You have the right to: obtain a summary of personal data we hold about you and the processing activities; request correction, completion, or erasure of your personal data; nominate another individual to exercise your rights in the event of death or incapacity; withdraw consent at any time (without affecting prior lawful processing); and file a complaint with our Grievance Officer (Section 1), and thereafter with the Data Protection Board of India if unresolved.

If you are in the UK/EEA (GDPR)

You have the right to: access your personal data; rectify inaccurate data; request erasure ("right to be forgotten"); restrict or object to processing; data portability; withdraw consent; and lodge a complaint with your local supervisory authority (e.g., the ICO in the UK).

If you are a California resident (CCPA/CPRA)

You have the right to: know what personal information we collect, use, and disclose; request deletion; correct inaccurate information; opt out of "sale" or "sharing" of personal information (we do not sell your data); and non-discrimination for exercising these rights.

10. International Data Transfers

As Amenos Metrics is based in India and uses global service providers (including Microsoft's Azure infrastructure for the chat widget and Framer for hosting), your personal data may be transferred to, stored, and processed in countries other than your own, including countries that may have different data protection laws. Where required, we rely on contractual safeguards with our processors to protect your data in such transfers.

11. Children's Privacy

The Site and Services are not directed to individuals under 18 years of age, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data (including via the chat widget), please contact us at support@amenosmetrics.com and we will take steps to delete it.

12. Third-Party Links

The Site may link to third-party websites or services (including Framer's own site, social platforms, or client case studies). We are not responsible for the privacy practices or content of those third parties. Please review their privacy policies separately.

13. Do Not Track

The Site does not currently respond to "Do Not Track" browser signals, as no uniform industry standard exists.

14. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal requirements (including changes to the chat widget's AI provider or the data it collects). We will post the updated version here with a revised "Last Updated" date. Material changes will be highlighted where required by law. Your continued use of the Site after changes take effect constitutes acceptance of the revised Policy.
